Who is the educational programs module for?
Local authorities, education networks, nonprofits and any organization that runs educational programs in schools. A local authority uses it to manage every program running in its schools, even when different bodies operate them.
What is the difference between a program, a sub‑program and a group?
A program is the whole framework, for example Math Excellence. A sub‑program divides it, for example by grade. A group is the students who study together in a particular school, with a lead, a subject and a timetable.
How is attendance reported at a session?
The staff member opens the session on a phone or a computer and marks who came. Attendance reporting can be made mandatory for a group, and the system can send an SMS reminder about a report that was not filled in.
What happens when a session is cancelled?
You mark the session as cancelled and pick a reason from a list the authority defines. The dashboard shows how many sessions took place and how many did not.
Can I see which programs a given student takes part in?
Yes. Every student file has a Programs tab with their programs, the group, the date they started and their status: candidate, enrolled, active, graduate or left. Every status change is kept in the history.
What data can be collected about a student in a program?
Each program defines its own data tables, for example grades, tests and personal follow‑up. The data is kept in the student file, under the Data and metrics tab, and can be exported to Excel.
How are staff working hours tracked?
The working hours table shows how many hours each staff member worked each day, in colors: what was not reported, what is awaiting approval and what was approved. Approved reports go to the payroll report, and travel reports are marked in the table too.
What does the dashboard show?
How many programs, groups, schools, students and staff there are, attendance tracking, how many sessions were reported and held, a list of sessions without a report, and the share of reports each staff member filled in. You can filter by program and by school year.
Can double‑booking a student be prevented?
Yes. Each program can turn on a clash check, and the system warns when a new session clashes with another one. You can also have a new participant in a group added automatically to its existing sessions.
Does the module connect to the rest of the system?
Yes. It is part of Smart Campus: programs and attendance appear in the student file and in the staff file, you can build a personal plan for a student, send forms and surveys, and see everything on the dashboards.
Who sees the students’ information?
Each user sees what their permissions allow, according to their role. In the student file, every view and download is logged.
Where is the data stored?
On servers in Israel, on AWS. Smart Campus is certified to ISO 27001 and ISO 27799, and is an approved vendor of the Ministry of Education.
