Overlap warning

A student who is already booked elsewhere at the same time is flagged right away, with the lesson and teacher of the other booking.

Student limit

Each lesson has a set number of seats, and its card on the board shows how many are taken.

Waitlist

Students waiting for a lesson appear in the “Waiting” tab, and the coordinator places them when a seat frees up.

Teachers by subject

For each employee you set which subjects they teach and in which center, so you always know who can teach what.

Learning center teachers are often students, volunteers or staff who only come in the evening. They don’t know every student or every staff member on campus. So the teacher just marks attendance, and the system passes it on to the people who know what to do.

Questions we hear in every demo

What happens when a student misses a lesson?

The teacher marks them absent, and their boarding counselors are notified automatically. The teacher keeps teaching the students who came, and the counselors, who know the student, find them.

Does the teacher know who is off campus?

Yes. The module is synced with exit approvals. A student who left with an approval appears on the lesson list in a blue row with their return time, so the teacher doesn’t wait for them.

What if I place a student who is already booked at that time?

The system warns you and shows the other booking: subject, time and teacher. The coordinator decides what to do.

How does the waitlist work?

Students waiting for a seat appear in the “Waiting” tab of registration management. When a seat is free, the coordinator places them.

Which reminders are sent?

The day before, teachers and students get the next day’s timetable. Half an hour before each session, the student gets a reminder. When a teacher cancels a lesson, the booked students are notified.

How are teacher hours calculated?

Every reported lesson goes into the teacher hours table according to its length. Each employee has the subjects they teach and a rate, and the coordinator approves the reports before payroll.

Who can see learning center attendance?

The coordinator, teachers, counselors and management, according to their permissions. Students see their own timetable and attendance, and parents can see learning center attendance. Every report is also saved in the student file.

Can we also manage clubs and other centers?

Yes. Clubs work the same way, and in the settings you can add more centers and timetables, such as a music center, a farm or therapy sessions.

Can the module be funded from the Ministry of Education budget?

Yes. The module can be funded from the Ministry of Education learning center budget. We’ll be happy to explain in the demo.
