Does the system fit a pre‑military academy?
Yes. A mechina is a place where the students live on site, with a team of counselors, a schedule, exits and Shabbat, and that is what the system manages: attendance, groups and rooms, exit approvals, a personal file, a personal plan, lessons, maintenance and a management dashboard.
We are a small academy. Isn’t this too much for us?
No. You choose only the modules you need, and the price depends on the size of the academy and the modules. You start with one process, usually attendance, and expand step by step.
Our students are 18. Do they need a request from their parents to leave?
No. A parent request is an option, not a requirement, and the counselor can issue an exit approval directly, with a destination and a return time.
How is attendance reported during a field week or a trek?
From the phone, using a template you set up in advance: by group, by activity or by bus. Each student is marked present, late or absent, and you can add a reason and a note.
Can we record personal talks?
Yes. The academy builds its own talk form in the forms module, and every talk filled in about a student is saved in the Records tab of their file.
What happens when a counselor is replaced in the middle of the year?
The file stays. The new counselor gets access to their students and sees the talks, attendance, exits and personal plan already on record.
How do we know who is staying for Shabbat?
You send a report request about who is staying for Shabbat, and the counselors fill it in. From the report you can open a temporary Shabbat group and give the duty counselor permission to report attendance and approve exits.
We have several branches. Can we manage them all in one system?
Yes. You set up an organizational structure with units, groups, facilities and locations, and each role gets the view and permissions that fit it.
Are lessons and lecturers managed in the system too?
Yes. You open one‑off or recurring lessons and assign students. Students get the schedule the day before, and a reminder before the lesson. The lecturer reports attendance, and their hours add up into a payroll report.
How do we start, and what support do we get?
You start with one process, in a pilot with one group, and expand step by step. The rollout includes guidance, training and ongoing support, and existing data can be imported.
Which languages and devices does the system work on?
In Hebrew, English and Russian, in the browser and in the app for iOS and Android.
Where is the data stored?
On servers in Israel, on AWS. Smart Campus is certified to ISO 27001 and ISO 27799, and is an approved vendor of the Ministry of Education.
